q: Does HIPAA actually apply to our center?

It depends on what you do. Centers providing medical services — pregnancy testing, ultrasound, STI testing — and transmitting health information electronically in connection with certain transactions generally qualify as covered entities. Many centers that don’t strictly meet the definition still choose to operate at HIPAA standards, because client trust is the foundation of the work. We can help you think through where your center falls, and we’d encourage confirming with your own counsel.

Q: What is a Business Associate Agreement, and why does it matter?

If a vendor handles protected health information on your behalf, HIPAA requires a written agreement defining how they’ll protect it. Without one, using that vendor for PHI is itself a compliance gap — regardless of how secure the technology is. We provide an executed BAA with every plan.

Q: Can volunteers use it?

Yes. Give them their own accounts with permissions limited to what their role requires.

Q: We already use [a common form tool]. Isn't that enough?

Sometimes, on the right plan, with the right configuration, and with a signed BAA. Often the answer is no — because the BAA is missing, or submissions are emailed in plain text, or everyone shares one login. We’ll review your current setup honestly, even if the conclusion is that you’re fine as you are.

Q: How long does setup take?

Most centers are live within a week. We build your forms,
connect them to your site, and train your team. You don’t have to configure anything
yourself.

Q: What does it cost?

Q: What happens to our existing form data?

It stays yours. We’ll help you migrate what you
need and advise on securely retiring what you don’t.

Q: Do you work with centers who aren't Cornerstone marketing clients?

Absolutely. Safeguard Forms is a standalone product. Many centers use it without any other Cornerstone service.
